Who we are

Information and purposes

We receive enquiries and student documents through Gmail and WhatsApp. Depending on your agreed service, this may include name, contact details, education history, certificates, application information and necessary identity documents, plus billing records. We use these to answer your enquiry, advise you, prepare applications and deliver the agreed service. Please do not send unnecessary sensitive information or identity documents before we explain why they are needed.

Legal bases

We process necessary enquiry and service data to take steps at your request before a contract and to perform that contract. We retain required accounting information to meet legal obligations. Limited processing to protect accounts or establish and defend legal claims may rely on legitimate interests, balanced against your rights. Where consent is required, we ask separately; it can be withdrawn without affecting earlier lawful processing. If essential information is not provided, we may be unable to deliver the requested service.

Sharing and international services

Gmail (Google) and WhatsApp (Meta) process communications under their applicable terms and privacy notices. We share only information needed for your agreed application or support with the relevant universities, authorised translators or service providers, and with authorities where required by law. We do not sell student data. Before sending documents outside the European Economic Area, we must identify the destination and an applicable lawful transfer mechanism, such as an adequacy decision or appropriate safeguards. Retention and deletion

We keep the student file during the service and delete personal and academic documents and related correspondence from accounts and devices under our control within 14 days after the agreed service is completed or the agreement ends. Enquiries that do not lead to a service are deleted within 14 days after the enquiry is closed. We retain only the minimum records necessary for statutory accounting periods or an ongoing dispute or legal claim, restrict their use, and delete them when that reason ends. This does not delete copies held by the student or independent recipients such as universities. Provider-held backups follow the providers’ own retention arrangements.

Your rights and complaints

Subject to the GDPR conditions, you may request access, correction, erasure, restriction or portability of your data, object to processing based on legitimate interests, and withdraw consent. Email Chevex.edu@gmail.com. We may verify your identity proportionately and respond within one month; if a lawful extension is needed, we explain it within that month. You may complain to the Dutch Autoriteit Persoonsgegevens at autoriteitpersoonsgegevens.nl.

Website and external links

The study planner generates guidance in your browser and is not a document-upload or application-submission service. Hosting providers may process technical connection data to deliver and secure the website. Following Gmail, WhatsApp or social-media links opens external services with their own privacy notices. We do not use the planner to make automated admissions or other legally significant decisions about you.

Updates

This notice applies to the services described above. We update it if our practices change and communicate material changes where required. Last updated: 31 October 2026.
